FAQ

The questions and answers shown on this page are general answers and may not necessarily represent what is applicable in your specific circumstance.   If you require more information please email our office at office@acegroupinc.com.au.

ACE Branding

Q. There is a question on the assessment application asking if I would like my horse branded. What do I need to do to have my horse branded?
  1. If you say “YES” to this question, then we will arrange to have the ACE Brand with us on the Assessment Tour. It is important that you have a gas bottle on hand as we can’t do the branding without it.  If your horse needs to be sedated, please arrange to have your vet on hand on the day to administer the sedation.

ACE Horse Registration

ACE Regulations around Registration of Horses

A few points below, in order to understand more clearly the regulations around registration of horses with ACE Group Inc.

  • Only one Passport is permitted per horse.
  • Registration of a horse with multiple WBFSH member organisations is not permitted. Where the horse is registered first with a member of the WBFSH it can then be recognised by other WBFSH member organisations. For example, a horse with an Oldenburger Passport can be recognised by ACE but not registered with ACE, and vice versa.
  • Multiple registrations are possible where other organisations are not WBFSH members. For example, if a horse is registered with the Arabian Horse Association of Australia (AHAA) and then with ACE, it can receive an ACE Passport, because AHAA is not a member of the WBFSH. However, where a horse is registered with AWHA, registration with ACE is not permitted, as AWHA is a member of the WBFSH.
  • Stallions registered but not licensed with another WBFSH organisation (such as AWHA, Oldenburger, Westphalian) are permitted to use ACE service certificates only after assessment and licensing with ACE. These stallions pay a ‘registration’ fee to ACE in order to be entered into the Studbook and receive ACE member services. If a stallion is registered and licensed with another WBFSH organisation in another country he will be automatically accepted into the ACE Stallion Studbook.
Can progeny with only Dam being ACE registered, be registered? Sire is Registered and Sire Registered with another breed Society (not Warmblood). I read on the website: “minimum of 25% warmblood studbook parentage” Please advise if it is possible and the process.

Yes, we can register this progeny, however, if both parents are not warmblood the progeny will be registered as whatever cross the breeding results in e.g. AWB x Arab = Arabian Warmblood. Each case can be different, please consult with the Breed Director.

Can you please tell me the quickest way to register a horse with ACE Group?

You are required to be a member of ACE Group Inc. in order to register your horse.

  1. Copy of Sire Registration Papers.
  2. Copy of Dam Registration Papers.  If the mare isn’t registered then she will need to be registered and DNA taken.
  3. A Completed Service Certificate.  If a service certificate has been sent through by the semen provider prior to registration, please notify the ACE Group Inc. office.
  4. Foal’s AI Form or ET Form (AI Record Form pdf)(ET Record Form pdf)
  5. A DNA test is required for all AI and ET foals and horses.
  6. If the Service was a paddock or hand service then an AI record is not necessary.  Likewise, fresh semen taken straight from the stallion to the mare on the same property does not require an AI form.
  7. Foal or horse to be registered has to be microchipped or branded.
  8. Completed horse ID Form (Downloadable here)
  9. A photo of the foal or horse from both sides
  10. A photo of the head
  11. A picture from behind to confirm the markings
  12. FOR FOAL REGISTRATION: The foal has to be sighted on the dam by an ACE representative (e.g. During ACE Assessment Tour) or vet. If this is impossible due to geographic location, the breeder has to submit adequate photographs of the FOAL AND DAM together..

Use our online form https://acegroupinc.com.au/foal-registration-application/, fill in the form and upload your documents.

If you prefer a manual form, download and print the form from here https://acegroupinc.com.au/ace-documents-and-forms/, fill in the information and attach all necessary documents and post to PO Box 224, Canungra  Qld  4275.

If all required information is supplied and correct then the application can be processed very quickly.

Email us if any doubts, office@acegroupinc.com.au

Do my horses need to be microchipped in order to be registered? Do they need to have a DNA test?

Microchip or brand is required for ID, either one is sufficient.

DNA will depend on how they were bred – Artificial Insemination, Transported Semen and Embryo transfer require a DNA test.

Live cover or chilled semen requires a service certificate from the Stallion owner, but DNA test is not necessary.

I have 2 horses booked in for assessment. On the day can I pay for the assessments for both and then register them in a few weeks’ time?
  1. Yes, of course.
I have a service certificate for my mare and I have the breeding details of the line of the dam. Are these details enough to have her Warmblood registered? The mare’s sire is registered so I would assume you have a DNA profile of him.
  1. If the mare was covered ‘live’ or used chilled semen, then the service certificate will be sufficient for her.
  2. If she was covered using AI, then a DNA test will be required.
  3. The Sire’s DNA profiles can be checked on our Database.  (Contact the office for this information).
I have a yearling warmblood gelding by ACE reg stallion and have an ACE service certificate for this, his mother is reg AWHA but not ACE. I have since sold the mare and I was wondering if I could register him with ACE and how much it is and how I would go about it.
  1. We would first need you to become a member of the ACE Group Inc as registration is a members-only service. The cost is $75 for a single, you can complete an online application here: http://acegroupinc.com.au/membership-application-form/ .
  2. We would love to help you register your gelding. It would depend on whether your gelding was produced using AI or was hand served as to whether there would be a need to provide DNA analysis to prove his parentage? This should be stated on the Service Certificate. If he was bred using AI there would be a cost of $90 for DNA analysis and $140 for the Registration Application. For this, you would receive a Horse Passport that shows his pedigree and stays with him for life.
I have recently purchased a yearling from a well-known stud. He currently isn’t registered with any society or breed groups. I was wondering if he’d be eligible for ACE registration and what paperwork would I need to provide to register him. Does the breeder need to supply the paperwork and send it through or can I do it with a copy of the Service Certificate?

Yes, he is eligible.  A Service Certificate is needed. Follow this link for complete information.

https://acegroupinc.com.au/foal-registration-application/

You will also be required to become a member of ACE Group in order to register your yearling.

I own two warmblood mares; neither are ACE registered. One is registered with AWSHA and the other isn’t registered with any organisation. The mares are full sisters and their dam was 50% Percheron, 50% TB and not ACE (or other) registered. Would my mares be eligible for ACE registration? Do they require an assessment?

Your mares don’t require an assessment in order to be registered, however, we would recommend that you have them assessed if you intend to use them for breeding.  That way you can make the most of our Assessors’ expertise when you choose a stallion for them in order to make the most of their attributes!

You can apply for registration without assessment by becoming a member of ACE Group Inc. and completing the forms and paying the fees.  It would depend on how much detail you can provide for them as to which studbook they are entered into.  The more detail obviously the better.  I would recommend having them assessed and taking it from there.

I want to register the yearling out of my mare (register both at once) who is by frozen semen from a registered sire and I also assume you have a DNA profile of him also.
  1. If you are a member, I can forward you a DNA kit for the yearling with what’s required for analysis as she was conceived by frozen semen.
  2. If the mare was covered ‘live’ or used chilled semen, then the service certificate will be sufficient for her.
  3. The Sire’s DNA profiles can be checked on our Database.  (Contact the office for this information).
I was wondering if there is an annual fee for registration, or if it’s a life registration?

There is a once off registration fee for the horse.

Other fees that are incurred: –

  • with the transfer of ownership if the horse is sold – paid by the new owner
  • if your copy of the horses’ passport is lost/stolen
  • DNA tests if required on registration.

The only annual fee is for membership for yourself.

Forms and pricing can be downloaded from https://acegroupinc.com.au/documents

I would like to get my mare and yearling registered with ACE. My mare (purchased as a young horse) and her dam have never been registered but I do have their breeding details.
  1. If you are a member, I can forward you a DNA kit for them and what’s required for analysis.
  2. If the mare was covered ‘live’ or used chilled semen, then the service certificate will be sufficient for her.
  3. DNA samples can be taken from the mane or tail provided there is a good supply of roots visible.
I’m just wondering the process I need to go through to change my horses rego into my name ?
You should have been given registration papers and a certificate of ownership signing the horse over to you. But if you weren’t then you can complete the transfer of ownership form available on the website.
  • Change of ownership (Online)
  • Change of ownership form (pdf)
  • As we don’t have a fax. Could you scan and email pdf? Or just post them PO Box 224 Canungra Qld 4275.

If you need more details please email office@acegroupinc.com.au.

I’m looking at buying a broodmare which is registered with ACE. She is 13.3hh and I want to breed her to a sire that isn’t registered warmblood or ACE registered but is registered through Australian sports pony register. I am just wondering if the resulting foal will be able to be registered with ACE Group?

Yes, the foal will be able to be registered with ACE Group.

You may find this link helpful:

https://acegroupinc.com.au/wp-content/uploads/2017/03/Provision-II-ACE-Performance-Pony.pdf

I’m not sure if I’m able to register my filly as only her sire is registered. I only know the parents of her dam and nothing else.

Do you have a service certificate for your filly?  If you can send all the information you have to info@acegroupinc.com.au our Breed Director can take a look for you.

Once horses are registered with you, is it for life or is there a yearly fee? The owner needs to pay yearly membership though, is that correct?

The horse is registered for life.  Owner membership is yearly but you are under no obligation to renew.

ACE Studbooks

Q. At what age can a filly be accepted into the mare studbook? I have a 3yo filly, but if they aren’t accepted until 4yo then I’ll wait a year and get her assessed next year.
  1. We will accept 3yo mares into studbooks according to the other criteria including height and ancestry etc.
Q. I am wondering what I need to do to get my Warmblood Pony Mare Australian Sportpony registered as a broodmare?

If you would like the mare considered for inclusion in the ACE Studbook, you will need to have her assessed. It depends on her score etc., as to which studbook she can go into.  Just complete the booking form and pay the booking fee and then we can discuss further.

Assessment Tour

Do we need to become ACE Members for the Tour, or is breed society and EA accepted?
  1. You don’t need to be a member for the Tour, however there is an extra $30 fee per horse for non members.
How do I register for the ACE Tour

All bookings can be completed using the online application form.  https://acegroupinc.com.au/assessment-tour-booking-form/

Currently, the form will only accept 6 horses so if you have more than 6 foals/horses you can either complete and submit the form more than once or contact our office and give your details over the phone.   Mobile: 0436 010 676

How does it work? People tie their horses up and wait their turn?

It depends on where you are.  Whether there are yards or boxes and whether the owner of the property has specified where you leave your horse.

As a matter of courtesy please contact the property owner and let them know that you’ll be having your horse assessed on their property and discuss any rules that they might want you to adhere to.

If a mare is registered with ACE Group Inc. does she also need to be assessed to be able to register any resulting foals? If so, do I need to be a member to participate in the Tour?

No, the mare does not have to be assessed, but it’s a good idea to have the foals assessed.  And yes, you need to be a member of ACE Group Inc. to access any of our services such as assessments and registrations.

I’m in South Aust. and I’d like to get my colt foal assessed. The dam is ACE registered. What do I need to do? What is the cost?

If you would like your colt assessed as part of the ACE Assessment tour, you would need to have a look at our website and use the online booking form at https://acegroupinc.com.au/assessment-tour-booking-form/

It depends on which assessment you would like but the 2 section (Conformation and Movement) is $99 and the most popular.

If you have any problems or would like more information, please email info@acegroupinc.com.au or phone ACE office 0436 010 676.

Q. I really want to take part in the ACE Assessment Tour but unfortunately I will be overseas at that time. I have a newborn foal to assess. Should I take the assessment next year?
  1. You don’t have to be there. We can go to where the mare and foal is.  We just need someone to show us the foal.  You can enter them over the internet on the ACE webpage or by ringing the ACE office.

I would not wait until next year.  Foals score best if they are still very young and on the mother.

Q. I’m still waiting to get my filly chipped and then registered so I can enter her on the Tour.
  1. You don’t need to be registered to enter in the tour. Conversely, it’s not a requirement to have a horse assessed to be registered.  You can register your horse without an assessment.
Q. I’m wanting my TB broodmare assessed but she is due to foal any day now. The problem will be transporting the mare and a young foal to be assessed. I also have her first foal which is a yearling now, to be assessed.
  1. If you’re concerned about transporting your mare and foal, we could come to you. However, you will need to have a secure yard to let the mare and foal run free for our assessor to see their paces. Likewise, for the yearling.
  2. Fill in the Assessment Tour application online and our office will let you know if it is viable for our Team to include your place in the itinerary.  We will do our best to fit you in.
Where are the assessments held?

We ask people to nominate where they want the inspection to be held, on the application form question “Location Preference for the assessment”.  If you have multiple horses, it can be on your property or sometimes a large horse complex will open its doors to anyone in the immediate area who wants to bring their horses.  So it’s more the owners need to find the location and we come to you.

Assessments

Do Warmblood mares need to be assessed for foals to be registered?

Are the WB mares registered with any other organisation? If so, then they do not need to be assessed if you can provide a copy of the registration papers from AWHA for example. If you would like them included in an ACE Studbook for future foals, then it might be a good idea to have them assessed for inclusion in an ACE Studbook.

They would still and always maintain their original registration, however, may be included on the ACE Studbook as well.

I have 2 horses booked in for assessment. On the day can I pay for the assessments for both and then register them in a few weeks’ time?
  1. Yes, of course.
I own two warmblood mares; neither are ACE registered. One is registered with AWSHA and the other isn’t registered with any organisation. 1. Yes, they can be registered as long as the parentage can be proven, (Service Certificates and/or DNA). They need to be assessed only if you wish to go into one of the mare studbooks.

Q. Can I get my horse assessed at any age or does it have to be before a particular age?
  1. Any age. We have foals that are only a few weeks’ old being assessed and we also get older horses taking part.
Q. I have a late foal that will only be 4 weeks when the assessment tour is on. Would you recommend having her assessed at 4 weeks or wait until next year?
  1. Foals assess well as young as you like, so I would say have them assessed while still with the dam.
Q. I have an 8-week old colt which I would like to be assessed and registered. How do I go about this and at what age would you recommend the assessment to be completed?

Foals assess well as young as you like, so I would say have them assessed while still with the dam.

Q. If I wanted a foal assessed would I need to: 1. Register and pay as a member? 2. Pay to register the foal? 3. Then book in and pay for the assessment?
  1. You can do it that way or you can just join as a member and book in your foal for assessment and then finish off the registration later.
Q. I’ve never had a horse assessed before and I’m interested in getting my 2yo pony colt assessed. Do I put him down as a stallion or is there a Young Horse section?

As he is still a 2yo, your colt is still classified as a “COLT”.  It’s unclear if you’re interested in having him assessed for Preliminary Stallion classification, but if so then there is a minimum requirement of 30 months of age to be eligible.  You may find this link helpful:

https://acegroupinc.com.au/wp-content/uploads/2017/03/Provision-II-ACE-Performance-Pony.pdf

If you go to this link you can join up online and then you’ll be able to submit your nomination for him to be assessed.  You can ask for us to come to you, or if you prefer to take him to one of the ‘Open Properties’ for his assessment, just annotate that on your application.

DNA

I just pull 20 mane hairs out by the roots and put in a sandwich bag clearly labelled and sent? I’m a little confused as the ‘Form’ states ‘within the provided kit’.

If you are a member, we can forward you a DNA kit for the horse along with what’s required for analysis.

DNA samples can be taken from the mane or tail provided there is a good supply of roots visible.

Futurity Plan

ACE Futurity Plan

Open to all foals aged under 1 year old prior to 1st August 2018.
Conditions of Entry:

  • The competition runs for 3 years
  • Must enter as a foal in their first year. Entries are open until 31st July 2018.
  • $50 to enter as a Foal.
  • Then $100 payable each year –  for the 1st, 2nd and 3rd year.
  • Total entry cost is $350 paid over 3 years
    1. 2018 $50 initial entry payable before 1st August.
    2. 2019 $100 payable before 1st August
    3. 2020 $100 payable before 1st August
    4. 2021 $100 + cost of 3 section assessment (Assessment fee for futurity in its final year will be charged as normal. i.e. 3 sections (Conformation, Movement, and Jumping))

In the 3rd year, each horse or pony eligible for futurity will require assessment on the 2021 tour.

  1. There will be a State prize for a winning three-year-old in each State – approx $1500 – $2000 prize (depending on entries)
  2. Each State winner will be presented with a trophy and garland.
  3. Highest scoring horse or pony will win the overall National award. – Extra Cash prize and trophy/rug.

Rules – the horse or pony owner must be financially paid up for their 3rd year. If they do not pay up annually, a late fee will be applied (amount to be determined) or the entry will be deemed not valid and forfeit all entry fees paid to date.

 Minimum State Numbers.

  • 10 in each State. If not 10, then the winning prize money will be pro-rated or combined one State with another.
  • Assessment fee for futurity in its final year will be charged as normal.
  • All 3yo’s must also jump – this cannot just be a dressage award. It’s an overall award for the best of the best really. A good dressage horse should be able to jump and a good jumper should be able to move.
Do the foals entered into the Futurity have to be ACE registered?

Yes to be eligible for the futurity they must be ACE registered.

I Assume the 3 yo assessment is in hand not under saddle?

Yes, it is in hand including the free jumping.

  • All 3yo’s must also jump – this cannot just be a dressage award. It’s an overall award for the best of the best really. A good dressage horse should be able to jump and a good jumper should be able to move.
So it’s not a yearly run event with the final being when they’re 3? To clarify,  I just need to register my foal with ACE before 31st July 2018 for the futurity which is in 2021?  I don’t need to do this years’  assessment tour with her?

She does not need to be assessed in the first year, but she must be registered to enter. The futurity assessment for foals entered this year is 2021. So as long as you pay the yearly entry, you have the opportunity to win over $1500 in cash and prizes when she is a 3yo.

Would love to enter our foal, but it’s not due until mid-February.

That will be fine. You can still nominate. The futurity assessment takes place as a 3yo. You have until 31st July 2018 to nominate for the Futurity and get your foal registered with ACE.

Horse Passport

How do I go about getting my Horse’s Passport amended to contain his FEI number?

So nothing changes with the FEI – both horse and rider need a number still issued by them.  If you have an ACE Passport you can send it to EA for registration with the FEI and they will allocate the number, there.  This is the same standard of Passport now as the Hanoverian, Oldenburg or KWPN Passports – same as European ones now.

Membership

Are the memberships yearly? I have been a member before?

Yes, yearly. Memberships expire every 12 months.  If you want to take advantage of our services e.g. Registration and Assessments, you will need to renew membership once your current membership expires.

Once horses are registered with you, is it for life or is there a yearly fee? The owner needs to pay yearly membership though, is that correct?

The horse is registered for life.  Owner membership is yearly but you are under no obligation to renew.

Service Certificates

I cannot find the link to Service Certificates for the life of me!

It’s not you! Service certificates are not online. We still have to mail them to stallion owners and others.

Transfer of Ownership

I have a couple of items to organise – transfer of ownership of two horses, and a passport for one of the two as she was only issued the form rather than passport as she was registered prior to passports. What do I need to send you? I have scanned copies of the signed ownership transfers but do I need to fill in any additional forms? Payments? Etc.

So for your transfer of ownership you should have been given the completed Certificates of Ownership with the old owner’s details signing across to you with your details? If not, then there is a transfer of ownership form on the website.

https://acegroupinc.com.au/wp-content/uploads/2017/03/ACE-Group-Inc-Transfer-of-Ownership-2017.pdf

These are $35 each. For an upgrade to a passport, you need to send me the Certificate of Registration which I can trade in for you to a Passport – cost $25.

I’m just wondering the process I need to go through to change my horse’s rego into my name?

You should have been given registration papers and a certificate of ownership signing the horse over to you. But if you weren’t then you can complete the transfer of ownership form available on the website https://acegroupinc.com.au/#Change-Of-Ownership. If you need more details, please email admin@acegroupinc.com.au.
